Customer Photos, Videos, and Stories

What we collect

Share Your Moment accepts photo uploads or a separate video-link submission. Direct video-file uploads are not accepted. We collect selected photos privately when you choose them. Your name, email address, event type, video link if supplied, and permission choices are saved when you send the relevant form. You may also provide a Workshop Date, organization, story, or social media handle. We keep a record of the permission wording, its version, your choices, and when you submitted them.

The video-link form saves a sharing link, not a copy of your video. It does not embed or publish your video, and it does not change the sharing settings of the service hosting it. The link and submission details are available for private staff review. Video-link submissions are not sent to Mailchimp and do not receive the completed-upload tag. External videos are not covered by the file-upload malware scan; staff review links separately before considering any use. Please do not submit passwords or account sign-in links.

Submissions must come from an adult who is at least 18 and has permission to submit the files and story. This includes permission from everyone shown and a parent or guardian for any children shown. Please do not include children’s names, birthdays, or other private details in your story or captions.

Private review and sharing

After a photo submission has been saved with its attachments, we send your email address, completed-upload status, and Workshop Date, if provided, to Mailchimp to track your submission. The completed-upload status uses the “Share Your Happiness - Uploaded” tag. We do not send your files, story, sharing permissions, or children’s names through this connection. It does not subscribe you to marketing or change an existing email subscription. If you leave Workshop Date blank, we do not replace a date already on your contact record. Uploaded files are malware-scanned before staff can open them; a saved submission is not approval to publish.

Original uploads stay private. Only authorized staff and service providers helping us securely store, check, review, and deliver submissions may access them for those purposes. Specifically invited reviewers may review submissions, but only an authorized owner or administrator may publish, unpublish, or manage permissions.

Nothing appears in the Customer Moments gallery without both your public-sharing permission and staff approval. Public-sharing permission covers the Noah’s Ark Animal Workshop website, social media, and emails. Paid-ad permission is a separate, optional choice; public-sharing permission does not grant permission for paid ads. Staff approval never replaces your permission.

With your permission, we may share approved photos, videos, or story excerpts and make crops, captions, or other edits that preserve their meaning. We only add an organization or social media credit if you separately allow it. We do not publish your email address or children’s names. Submitting does not guarantee a feature or payment and does not sign you up for marketing emails.

How long we keep submissions

Private form-upload files are deleted after 90 days, including rejected or unused uploads. A separate, approved public copy may be kept while actively used, with a continued-use review every 12 months. Permission records are separate from the expiring upload files. Staff keep and review those records while the media is used and for 5 years after its final use, then arrange their removal. Final-use tracking and permission-record removal are staff-managed.

Staff review unused video-link submissions after 90 days and remove links that are no longer needed, while retaining permission proof for any active or previous use as described above. Link review and removal are staff-managed, not an automatic file-expiry process. Removing a link from our records does not remove the original video from the service hosting it.

Changing permission or requesting removal

To change a permission or request removal, email support@noahsarkworkshop.com. Include your submission reference if you have one. We may confirm that the request comes from the submitter before changing permissions. Once confirmed, we stop the uses you withdraw permission for and remove affected media from the gallery and channels we control. Copies already downloaded, printed, or shared by others may remain outside our control. Permission records remain subject to the retention period above.

Mobile Information and SMS Opt-In Data

Noah’s Ark Animal Workshop respects your mobile privacy.

Notwithstanding anything else in this Privacy Policy:

• We do not share, sell, rent, or disclose your mobile phone number or SMS opt-in consent to any third parties or affiliates for marketing or promotional purposes.
• Your mobile information is used solely to send communications directly from Noah’s Ark Animal Workshop.
• Text messaging originator opt-in data and consent will never be shared with any third parties.

You may opt out of SMS communications at any time by replying STOP to any message.

Message and data rates may apply depending on your mobile carrier.
